Based on what I know of the planning that goes into most meets, if you set a date and location, people will make it. There will always be some who can't, but that is true whether the date is voted or just set (though weekends seem to be better than weekdays).

I'll try to work out some ideas by the middle of next week and see if anything looks good. I'll shoot for sometime in the beginning of August so there is plenty of notice for those who might have to travel a bit. Also, since State College is home to Penn State University, the area shouldn't be packed with students yet at that point.

Could anyone from a previous meet give me some info on how exactly things normally work? I assume some meeting space is required, possibly a hotel with a meeting space for easy access from where everyone might stay. Just for the fact that I've never been to an SRP meet, I just want to get an idea so I can plan a little better.
I'm also unsure what is normal as far as room rates for those who come from out of town, I'd like to get a few options to choose from.

It really depends on how far people are coming from. The Ft Lee meets are single day affairs, and I don't think anyone comes from far enough away to spend a night. Toronto was the same, though dllandry was kind enough to put me up for the night. WNY typically run Fri evening - Sun afternoon; some travel and stay overnight (JoeD and CarrieM are fantastic, partially because they up up a few of us) while others come just for Saturday. At the MN meet I attended, we met at Mike Blue's home/workshop, and I do not believe anyone stayed the night.
Locations include someone's home, a private or semiprivate club, a reserved or designated section of a bar/restaurant, or just a large space someone has access too.
Nearby hotels are nice, but not required. I would think a month to six weeks advance notice would be sufficient.

I don' t live in PA but close enough I could find a way, or meet up with someone to carpool...Would have to be their car as seeing I sold mine. (would pitch in for gas and what not) Living 6 blocks from work is amazing.

Provided I can make it, which, as long as it isn't the weekend of Aug 20th, I can pick up anyone that's on my way north from VA (short people and mechanics are best, the S60 has crap for a back seat and the head basket is blown in my 4runner)

I checked the map, and I live along the Ohio river in West Virginia, one person about 40 minutes north of me is on the map. no one else is close.

I don't know if I'm on the map, I'm just off I 81 in VA. WVLOONEY isn't far from me
